Author alerts

Set up alerts for when an author of interest - perhaps yourself - is cited or has a new publication

Author is cited or has new publication via Google Scholar

1. Go to Google Scholar

2. 👉 Note - not every author will have a Google Scholar profile

3. Search for the author of interest. In this example, will use AB Smith

4. At the top of the page, will be User profiles for ab smith

5. The AB Smith you are interested in may be listed (in this example there are multiple AB Smith's so you can find the correct one by looking at their institution and field of research)

6. Click on the AB Smith of interest using the link directly under the User profiles text

7. On the subsequent page, click on the blue Follow button, check the New citations to this author box, and enter your email for alerts

8. You will notice there is also an option to be alerted to new articles by the author. This is an alternative to the Discovery approach discussed further below

9. Haven't found your author this way? An alternative approach 🔽

10. Search Google Scholar for an article by the author (by article title or DOI number - this is the one that starts with 10.)

11. If - when you find the article - the author's name is underlined, you can click it and follow steps 7-8 above

Author has new publication via Discovery

1. Ensure you are logged into Discovery

2. Go to Discovery Advanced Search

3. In the Query Builder, change Keyword to Author (and leave at Begins With). For example: berk

4. In the Query Builder, change the second Keyword field to Affiliation (and leave at Like). For example: deakin

5. Untick the bottom boxes Show full text available only and possibly Show peer reviewed only

6. Do the search and on the resulting page, change Sort by Relevance to Sort by Date (left hand side of page)

7. Click on the My Searches button under the search string

8. On the subsequent page select the Alerts frequency (Daily, Weekly, Monthly)

10. Note As this search is using the author's current affiliation, it will cease to work if they move to another organisation


Citation alerts

Set up alert for when an article of interest is newly cited

1. Go to Google Scholar

2. Find article of interest by searching for it by title or DOI number (this is the one that starts with 10.)

3. Click on the Cited By link under the article

4. Click on Create alert (bottom left)

5. You can change the email involved at this stage if you like

6. 👉 As per Step 3, this will only work if the article has already been cited at least once

7. For articles that haven't yet been cited, there is a technical workaround available


Conference alerts

Find conferences for your specialty

Health & Medicine Conferences in Australia

Medical & Pharma Conferences in Australia

All Conference Alert Click on specialty (e.g. cardiology) to filter. Use Subscribe (bottom right in footer) to receive alerts


Journal alerts

Journal alerts are very easily created and removed using Discovery.


Topic alerts

Be emailed new articles that match your search using Discovery or an Ovid database (Medline, Embase, Emcare, PsychINFO) 🔽

Ovid database topic alerts

1. Open an Ovid database from either the Discovery Databases page or from the SharePoint Databases page

2. In the database, click on My Account (top middle) and either log in or create an account and be logged in

3. Create your search and once satisfied, click on Save All (on the left under the search lines)

4. On the resulting screen you can give your search a name, add any comments, set the frequency (weekly, monthly etc) and more

5. You will now receive a regular email with any new articles that match your search strategy. You will receive an email even if there are no matches

6. To edit / delete Ovid alerts, click on View Saved (top right-ish) whilst logged in and on the resulting page click on Autoalert (SDI) Searches tab

7. Select the alert and then either Delete (icon top middle) or edit (pencil icon to right of alert) An alert can be deleted by selecting the alert and clickOnce satisfied, click on Save All (on the left under the search lines)

8. 🔔 An Ovid account is also useful to save a search when you need to do something else and come back to it later. At Step 4 above, just change the Type dropdown to either Permanent or Temporary

 

👉 Peninsula Health doesn't provide access to Scopus or Web of Science, but if you do via a University affiliation, they both provide good alerting options

Books (Print)

Borrowing

Borrowing print books

1. Complete the short online Book borrower form

2. You will receive a confirmation email that will contain your login details

3. Search for print books

4. For the book you want, click on Place Hold (log in if you aren't already, using your credentials from Step 2)

5. The Library will put the book aside for you to be collected from the Library office in the Ngarnga Centre

6. Alternatively, if you would like the book sent to you via internal mail - at Step 3 click on the Show more options link & provide your delivery details in the Hold notes field

7. If the book in question is currently on loan, then you will be notified when it has been returned

8. Loan periods are 1 month. You can renew your loans online using your login details (Step 2) as long as someone else hasn't placed a hold on it

9. If the book you want isn't part of the collection you can:

  • See if it's available as an online book
  • Request it on interlibrary loan. This isn't available for course texts
  • Suggest it as a library purchase. This isn't available for course texts


Finding

Print books can be searched for using the Books (Print) tab in Discovery


Interlibrary loans

For books that aren't available in print or online and aren't a course text, they can be requested on interlibrary loan


Free University Borrowing
 

A number of Melbourne Universities offer free borrowing of print books for the public

To quickly find which University Library holds a particular book, search Trove click on the book of interest then the Borrow button

Purchase suggestions

Print book purchase suggestions

1. Suggestions for a book purchase can be made by emailing the Library

2. It should be noted that the Library is in general moving away from print to online books

3. Books won't be purchased for course texts. See Course Texts section

4. Print books are sometimes purchased for departments. See Departmental Texts section


Departmental texts

Details on departmental texts

1. In many cases, it makes more sense for a print book to be located where it is most likely to be used rather than on the Library shelf

2. If a department is interested in a particular book, they should first see if it is already available online as this may be sufficient

3. If not currently available online, then the department should contact the Library to see if this can be purchased as online books have advantages (available to all staff & both from work and home)

3. If online isn't available and / or the department prefers a print version, then that is possible

4. In terms of funding, the requesting department should generally pay for the book. On occasion, the Library has sufficient funds for this purpose

5. Previously, many books were on extended loan to departments. This is gradually being replaced by permanent location in the department as this avoids certain problems (repeated overdue notices, issues when the departmental borrower leaves the organisation etc)

6. Departmental texts are generally still searchable - the record will say "Not for loan" but will list the department involved just in case anyone else might like to look at it


Course texts

Books for study

1. The Library doesn't have the space or budget to purchase books for study

2. Interlibrary loan is not a good option either as the lending library is often reluctant to lend at all or if it does it will only be for short periods as it wants to retain access for its own staff

3. The site Booko is useful as it will search many book sites at once to enable the cheapest purchase

4. Another useful one is Second Hand University Textbooks for Buy, Sell & Swap Australia Only

5. By using these sites, course texts can be bought, used fully during the study period, and then sold second hand aftwards. Potentially a tax deduction could be claimed also

Useful Browser Keyboard Shortcuts (Chrome & Edge)

  🔹 Bookmarks

    🔸 Bookmarks bar - Ctrl Shft B. Use this to have your Bookmarks bar visible (or not)

    🔸 Bookmark a site - Ctrl D. Alternatively click at the very start of the URL & drag onto Bookmarks bar

    🔸 Change bookmark name - Right Click > Edit (Useful to change to more concise name)

      ⬩ You can use a single letter or even leave blank for the name if that is enough to recognise the icon

      ⬩ Move bookmarks on the bar by click & hold, then dragging. Alphabetical order means quicker access

  🔹 Tabs

    🔸 New tab - Ctrl T

    🔸 Close tab - Ctrl W

    🔸 Restore closed tab - Ctrl Shft T (useful if you accidentally close a tab)

    🔸 Close all tabs to right - Right click on Tab > Close Tabs to Right

    🔸 Search all tabs - Ctrl Shft A

    🔸 Tab move - Ctrl Shft PageUp or PageDown

    🔸 Next tab - Ctrl Tab. Previous tab - Ctrl Shft tab

How to Install Browser Extensions

  🔹 Browser extensions can add useful extra functionality to your browser

  🔹 Go to the Chrome Web Store (note - extensions for the Edge browser can also be added from here as below)

  🔹 Using the search box (top right), search for - as an example - Google Dictionary

  🔹 A number of results will come up. Click on the Google Dictionary (by Google) one

  🔹 Optionally, you can view screenshots, read the Overview and Reviews. Click on Add to Chrome (top right) and then Add Extension

  🔹 The extension icon will appear briefly, and then hides in the Extensions icon (top right, looks like jigsaw piece)

  🔹 Click on this "jigsaw" icon. Then click on the pin icon to the right of Google Dictionary to make it permanently visible

  🔹 Extension added to Chrome - when you double click a website word, a definition will immediately be provided above it

  🔹 Similar process for the Edge browser (compatible with Chrome extensions). Edge has it's own Web Store which can also be used

  🔹 Extension not useful? Right click on its icon, and select Remove from Chrome (or Edge)

 

Capture text from images (OCR)

  🔹 This uses a browser extension called OCR - Image Reader

  🔹 Install as above (How to Install Browser Extenstions)

  🔹 Sometimes there is some text you would like to capture from an image, figures, video, banner, PowerPoint (web version) etc

  🔹 Click the extension icon, use the cross hairs to capture text; the text will appear in a box (bottom right) > Copy Text

  🔹 To use with PDFs, Edge browser is better option as it has a built in PDF reader which OCR Image Reader is compatible with

 

Delete Cookies from a single website

  🔹 Sometimes it's necessary to delete Cookies to get a site to function properly

  🔹 Deleting all Cookies can result in having to log back into multiple websites. The approach below is site-specific which avoids that

  🔹 Before the URL in the address bar, you will see either a slider icon (Chrome) or a lock (Edge)

  🔹 Click on the slider or lock icon and then on Cookies and site data

  🔹 Then click on Manage on-device site data (Chrome) or Cookies (Edge)

  🔹 Delete all Cookies for the site (Chrome) or navigate via the arrows to the Cookie level & click remove (Edge) > Remove all Cookies

  🔹 Refresh the page in question (Ctrl R or use the Refresh icon) and with any luck the issue may be resolved

Useful Windows keyboard shortcuts

Win is the Windows key (between Ctrl & Alt on bottom left of keyboard)

Hold down the first key specified then tap the second key. If three keys, hold down the first two and tap the third

  🔹 Open Windows Explorer - Win E

  🔹 Open Emojis - Win . (ie dot)

  🔹 Open Clipboard history - Win V

  🔹 Open Windows settings - Win I

  🔹 Maximise Window - Win up arrow (Win down arrow to reverse)

  🔹 Move Window to other monitor - Win Shift left or right arrow

  🔹 Windows taking up half of screen - Win left or right arrow then choose second window via arrow keys

  🔹 Undo/Redo - Ctrl Z & Ctrl Y

  🔹 Lock Window - Win L

  🔹 Voice typing - Win H

  🔹 Select programs pinned to taskbar - Win T then arrow keys. If multiple instances of a program use up arrow to select

 

Text size

  🔹 Hold down the Ctrl key, use your mouse scroll wheel to quickly increase or decrease text size

    🔸 Works on websites & Office programs - Word, Excel, Outlook

  🔹 Alternatively, again while holding down the Ctrl key, press the + or - keys to increase or reduce the text size (works on websites)

  🔹 To quickly get back to the default 100% display on web pages, press Ctrl 0 (ie zero)

 

Clipboard History - reuse previously copied content

  🔹 To view & paste items you previously copied (beyond the last item), hold down the Win key and tap V

  🔹 This will show you the last 25 items you have copied. Use the Up and Down arrow keys to navigate the list then Enter to paste

  🔹 If you have some copied text or an image that you frequently use, click the Pin icon to retain between sessions

  🔹 No clipboard history? Search Windows (bottom left) for clipboard settings & ensure the Clipboard History toggle is set to On

Cited By in Google Scholar

  🔹 Click on this link will show any articles that have cited the article in question

  🔹 This can be a useful way to find related & more recent articles

Article reference list / bibliography

  🔹 Click on the article title

  🔹 In many cases, the reference list for the article will be displayed at the bottom of the page

    🔸As per Full text section, these will be either full text or can easily be requested

    🔸Example: on this page click on article title & scroll down

 

Searching by article identifiers

  🔹 You can retrieve an article by it's DOI number (the one that starts with 10.) by using doi:

    🔸Example: doi:10.1038/s41467-022-29453-8 See example

  🔹 You can retrieve an article by it's PubMed ID number (PMID) by using pmid:

    🔸Example: pmid:35393413 See example

 

Filtering results

  🔹 The left hand panel provides a number of filtering options

  🔹 Use the Filters search box in the left panel to:

    🔸Limit to Australian Institutions (under Local heading). Imperfect

    🔸Limit to study types (RCT's, systematic reviews etc)

    🔸After selecting a filter, click on the icon at the end of the search box to apply

  🔹 Many other options to filter results available

    🔸Show full text or peer-reviewedd only

    🔸Date, document type, subject, journal (use Publication name), diseases etc

    🔸Higher quality articles via Specialized Sources > PubMed Clinically Useful Journals

    🔸Click the checkbox that appears and the Apply button at bottom of left panel

 

Search Tips

  🔹 Search in article title

    🔸Example: title:diabetes

  🔹 Use quotes for phrases

    🔸Example: "heart disease"

  🔹 Search for author

    🔸Example: author:einstein

  🔹 Word extensions

    🔸Example: diabet* (finds both diabetes and diabetic)

  🔹 Word combinations (Boolean)

    🔸Example: cat AND dog (finds articles with both words)

    🔸Example: cat OR dog (finds artcles with either word)

    🔸Example: cat NOT dog (finds articles with 1st not 2nd word. Useful for 🐈 lovers)

  🔹 Combining options

Filter journals

  🔹 After doing a journals search, options in the left panel allow you to:

    🔸 1. Sort results by popularity, title, relevance (default) & ranking

    🔸 2. Apply limits such as peer reviewed only, by publisher and so on

      ⬩ Peer reviewed journals are indicated by a blue paper/pen icon at top right

    🔸 3. Further down on the left, you can limit by ranking quartiles (e.g. Q1 Top 25%)

 

Other journal tips

  🔹 If you are logged into Discovery, then you can click on Activate Journal Alert for those of interest

    🔸 Create a Discovery account

    🔸 Some journal alerts are only accessible by finding an article from that journal. More information

  🔹 Each journal has a permalink (top right, looks like a chain link). Use this to provide journal links on your intranet pages

  🔹 Default is by search using the Books (Online) tab

  🔹 After doing such a search, on the resulting page you can also:

    🔸 1. Click on Advanced Search for additonal options

    🔸 2. Browse by subject (option under search box)

      ⬩ a. Click on Select a subject

      ⬩ b. Navigate as required (e.g. Diseases then Cardiovascular Diseases)

Other ebook tips

  🔹 Each ebook has a permalink (top right, looks like a chain link). Use this to provide ebook links on your intranet pages

  🔹 Look at Access Information under the ebook title for platform specific tips

  🔹 Suggest an ebook for purchase

  🔹 There are more than 8000 ebooks available

  🔹 They can be accessed offsite also

  🔹 Any ebooks from the ClinicalKey platform can be accessed on your phone via an app

TIPS FOR PRINT BOOKS IN DISCOVERY   

Back to Print Books search

Register: To borrow print books, complete this quick online Registration (this will also allow you to place holds & suggest purchases as below)

Holds: You can put a hold on books on loan (you need to be logged in to do this - see Register above)

Purchase suggestions: You can suggest print books for the library collection or your area, or ebooks for everyone to access. To do this you need to be logged in (see Register above) and then visit the Purchase Suggestion page

Physical collection: This is located at the Ngarnga Centre. Note that only some of the print books are accessible on the entrance floor. The rest are located in the basement - to gain access to this area, please ask a librarian (office is first left when entering the building)

 

TIPS FOR GOOGLE SCHOLAR IN DISCOVERY   

Back to Google Scholar search

For a given article of interest, click on Cited By if available. This can be a good way to find related and more recent articles. The Related Articles link is also sometimes useful.

Too many citing articles? You can click on the Search within Citing Articles box and enter relevant terms to narrow down result. You can also limit by publication date on the left.

Like to be alerted when there are new citations for an article of interest (perhaps your own)? Use the Create Alert option on the left.

TIPS FOR PUBMED IN DISCOVERY   

Back to PubMed search

Clicking the Peninsula Health logo will either give you full text of the article or allow you to request it easily (just 3 fields)

If doing offsite, you may need to login with your Athens account to access full text articles

Linkage to Peninsula Health full text is via a custom PubMed URL. If you want to take advantage of this anywhere else use:

   https://pubmed.ncbi.nlm.nih.gov/?otool=iaupeninhealib

Use PubMed Clinical Queries if you would like easy limits for therapy, prognosis etc

 

TIPS FOR UPTODATE IN DISCOVERY

Access:

Onsite, access is immediate

Offsite, follow the steps below to access on your phone, laptop etc​​​​​​​

  1. Go to UpToDate (this needs to be done on a Peninsula Health computer)
  2. Complete the Registration form (orange Register button at top right)
  3. To access offsite, go to  www.uptodate.com and log in using button at top right
  4. To access on your phone, download the UpToDate app (Android / iOS) and log in
  5. Every 3 months, an email will prompt you to log into UpToDate (on a Peninsula Health computer) to maintain access
